What this policy covers

This notice covers visitors to astrometa.ai, business enquiries, and our handling of those enquiries. Client-project data, product accounts, and hosted services may involve additional processing described in the relevant service privacy notices and agreements. This website notice does not replace those arrangements.

Information we collect

  • Enquiries: your email address, optional name, message, and any other information you choose to send through the form or by email.
  • Request records: submission time, reference number, processing status, email-delivery status, and related correspondence or project records.
  • Technical information: the form records your IP address and browser user-agent. Hosting and application logs may also record requests, timestamps, and errors to operate and protect the website.

Providing an enquiry is voluntary. The form requires an email address and a message so we can assess your request and respond; your name is optional.

Please do not include sensitive personal information, payment details, passwords, identity documents, or confidential client data in an initial enquiry. A high-level description is enough.

How and why we use information

We use enquiry information to understand your needs, respond, prepare proposals, and manage business correspondence. Submissions are saved in our systems, sent to our business inbox as notifications, and may create internal contact and project records. Automated workflows may prepare proposal drafts and send related notifications. You can contact us to ask for a person to review your enquiry.

Our lawful basis for handling business enquiries and maintaining these records is our legitimate interest in communicating with prospective clients and managing our business. We also rely on legitimate interests to maintain website security, prevent abuse, and troubleshoot problems.

Where you ask to enter a contract with us in your own name, we may process information to take steps at your request before that contract. We also process information where necessary to meet legal obligations, including responding to applicable data-protection requests. We do not add you to a marketing mailing list simply because you contact us.

Cookies and analytics

The public marketing website does not currently run third-party visitor analytics or advertising trackers, or set analytics cookies. This applies whether or not your browser sends a Do Not Track or Global Privacy Control signal. Technical logs and enquiry records are separate from visitor analytics.

If you use a sign-in area, essential cookies and browser storage support authentication and security. We will update this notice before introducing visitor analytics and obtain consent where required.

Service providers and sharing

We use hosting and email providers to operate this website, store enquiry records, deliver notifications, and respond to enquiries. These providers process the information needed for those services, including your contact details and message.

We may also disclose information to professional advisers or authorities when necessary for legal obligations or legal claims. We do not sell personal information or share it with advertisers or data brokers for their own marketing.

Where information is processed

Our email notification provider processes enquiry information in the United States under contractual safeguards, including Standard Contractual Clauses and the UK Addendum.

Contact privacy@astrometa.ai for information about these safeguards or a copy.

How long we keep information

Retention depends on the purpose of the record: whether an enquiry is still active, whether it leads to an engagement, the need to retain relevant business correspondence, and any legal obligations or disputes. Technical records are retained according to their operational, security, and troubleshooting purpose. These criteria also apply to related contact and project records; email providers and backups may have separate retention periods. Contact us about retention or deletion of your information.

Your rights and choices

Depending on the applicable law and our basis for processing, you may request access, correction, deletion, restriction, or a portable copy of your personal information. Where processing relies on consent, you can withdraw it without affecting the lawfulness of earlier processing.

You can object to processing based on legitimate interests, including our handling of business enquiries.

Email privacy@astrometa.ai to make a request. We may need to verify your identity. We normally respond within one calendar month; if a lawful extension is needed, we will explain why. Some rights are subject to exceptions.

You can complain to the UK Information Commissioner’s Office (ICO), or to your local data-protection authority where applicable. You do not have to contact us first.

Children

This website is intended for business users and is not directed at children. If you believe a child has sent us personal information, please contact us.

Changes and questions

We will update this page when our practices change; the date above shows the latest revision. For questions, contact privacy@astrometa.ai.
